Your website should help visitors take the next step
Visitors to a hotel website may want to book, request a quote or clarify a detail. Forms and chat serve different needs. Choosing solely on technology risks adding a contact point without improving service.
First, review questions reaching reception. If dates and guest numbers are often missing, a well-designed form can make enquiries more complete. If parking and opening-hour questions recur, first make that information easy to find and update.
An effective form collects the necessary data
A quote request form should ask what is needed to reply: dates, party composition, contact details and any requirements. Assess each extra field against its actual use. Collecting unused data makes completion harder without improving the offer.
After submission, confirm receipt and explain what happens next. Receipt confirmation must not be confused with a confirmed booking. Test on mobile, including required fields and errors.
The FastReply forms for websites and landing pages collect quote requests and newsletter subscriptions. The form name helps identify the contact’s origin. These journeys serve different purposes and need corresponding configurations.
A chatbot needs clear content and boundaries
Chat can help visitors find information, but its usefulness depends on its sources and connected features. Answering about restaurant hours differs from checking availability and a price for a family on specific dates.
Before adoption, define what it can answer, what data it can collect and when it should direct guests to reception. Test unanswered questions, out-of-season enquiries and needs requiring human judgement. Plausible wording is not enough if the terms are wrong.
An always-available chat does not mean a staff member is always present. Visitors should understand who they are interacting with and how to get help from the property.
Reception AI and website chatbots are different features
In FastReplyMail, AI supports staff in the Composer and in reviewing guest history. Drafts also use the property’s Knowledge Base: hotel information to organise and keep current. Staff check the result before sending.
This does not imply a website chatbot or automatically managed WhatsApp conversations. Chatbots and external integrations require separate assessment of scope, configuration and terms. Do not assume every conversation transfers to CRM.
The guide to artificial intelligence in FastReply distinguishes writing assistance from information checking. This distinction is also useful when comparing website solutions.
Test the full journey through to the reply
A useful test starts with a guest question and ends in reception’s workflow. Prepare practical cases:
- A simple enquiry with dates and guest numbers.
- A question about a seasonal or paid service.
- A specific need requiring a staff member.
- A question without a verified answer available.
- An enquiry changed after the first contact.
Check where data arrives, who handles it and what remains available to the next colleague. Test errors too: incomplete contact details or an unavailable link should not leave visitors without guidance.
Choose according to the workload you can sustain
A simple form followed by a careful reply may be more useful than chat with neglected content. If you add an assistant, assign someone to update information and review problem cases.
Measure usable enquiries, handling time and unresolved questions. Conversation counts alone do not demonstrate improvement. The aim is a reliable answer for the guest and fuller context for the team.
