COMMUNICATION AND MARKETING · FASTREPLYMAIL

The next stay can begin on your website.

Visitors to your property’s website may have a specific enquiry or want to stay in touch. FastReplyMail forms collect the information needed to prepare an offer and newsletter subscriptions, connecting your website and landing pages with front desk work.

Turn website interest into a contact to follow up

A page can present rooms, services and the local area well. The next step is to give visitors a clear way to request a proposal or stay in touch, taking information to where the team can use it.

FastReplyMail forms connect your property’s website and landing pages to the software: the quote request form collects structured stay enquiries, while the newsletter form feeds a mailing list in the CRM.

The first opens a sales opportunity to follow up with a personalised offer. The second nurtures the interest of visitors who are not yet ready to book. Both help develop the direct channel and build a relationship with the property, according to the consent collected.

Collect an enquiry ready for front desk work

The quote request form guides guests through entering their first name, surname, email, phone number, arrival and departure dates and requested accommodation. It can collect multiple accommodation units, including adults, children and ages, along with notes, pets and a promotional code, depending on enabled options.

The enquiry arrives in FastReplyMail through the Web Form channel, with the name of the form used, ready for the “Reply” action. With the CRM active, the data creates or updates the guest record with their declared consent.

The front desk starts with organised stay information, reducing the need to copy dates and occupants from a generic message. Staff check the enquiry, read its notes and prepare a response in the Composer.

Adapt the form to your property

In the generator in Utilities, choose Italian, English, German or French, set primary and accent colours and provide the privacy notice URL.

For quote requests, define the maximum nights and accommodation units, adults and children per unit and maximum child age. You can also choose whether to show pets and promotional code fields.

These options help collect enquiries that fit the journey you want to offer on your website. They do not determine actual availability: that is checked in the Composer through features supported by the connected booking engine.

Check the preview after choosing settings to verify fields and presentation before embedding the form on the page.

Connect landing pages to the enquiries they generate

Each quote request form can have an ID and a name to identify the enquiry’s source. This lets you distinguish contacts from a website page from those collected through a campaign landing page.

For example, create a spring stays page and embed a form named “Spring — stays for couples”. When an enquiry arrives, that name helps identify its origin and the context of the proposal presented on the page.

The form reference lets you observe enquiry sources in statistics. An enquiry is not yet a booking: assessing sales results also requires following offers and actual bookings, with the attribution available from connected systems.

The landing page is a page on your website or campaign where you embed the form. The generator prepares the embeddable widget; it does not automatically build the entire landing page.

Invite visitors who are not booking today to stay in touch

Not every visitor has decided on dates and a destination. The newsletter form offers a different path: leaving contact details and subscribing to the property’s communications.

Configure language, colours, privacy notice link and the destination mailing list. The form collects first name, surname, email, phone, notes and privacy and marketing consent. With the CRM active, the contact is created or updated and added to the chosen list, with consent recorded.

Embed the form on a page dedicated to news or stay opportunities, making the proposed relationship clear. Subscription is the starting point: relevant content and consistent communication can turn interest into a future direct booking opportunity.

Preparing and sending a newsletter remains a subsequent step in the dedicated features, within the limits of the active package. Embedding the form does not by itself activate a campaign or automated sequence.

The right message starts with a relevant guest group

FastReplyMail’s value lies in connecting communication to actual data from the guest relationship. In the CRM, build mailing lists of groups with shared characteristics, combining stated preferences and parameters, recorded spend at the property, average length of stay (length of stay), number of bookings, purchased services and language.

Move beyond “send and pray”: emailing everyone and hoping someone responds. Start with what you know about guests to choose whom to address and prepare a proposal that makes sense for that group.

For example, select repeat guests who stay longer to present an extended stay opportunity; or use stated preferences and purchased extras to identify people who may be interested in a dining offer. Choose list and content criteria according to available data and collected consent.

Recorded spend provides a concrete reference for positioning the proposal, alongside stay frequency and length. The form starts or enriches the contact; available CRM history then supports more precise segmentation.

Communicating relevantly with the right guest helps make the most of every contact, nurture loyalty and develop direct booking opportunities. Prepare lists and messages using information actually available: a new subscriber does not necessarily have a stay history.

Collect consent alongside data

Configuration includes a link to the property’s privacy notice. The quote request form includes required privacy consent and optional consent to contact through WhatsApp or other channels. The newsletter form collects privacy and marketing consent.

Expressed choices accompany data into the CRM. This preserves the contact’s context and distinguishes a quote request from a subscription to property communications.

Prepare content, privacy information and configuration consistent with the form’s use. Submitting a quote request must not automatically be treated as subscribing to all marketing communications.

Embed the code on your website and check the journey

The generator lets you configure options, preview the form and copy the code to embed on the page, comprising a script and stylesheet. Your website manager can integrate it in the chosen location and check it in the system used.

Widgets are served by FastReplyMail, which distributes their updates. Initial integration and presentation still need checking within the property’s website.

Advanced options include a callback after submission, for those configuring website measurement tools. Configure and verify the connection to measure successful submissions, distinguish quote requests from newsletter subscriptions and avoid duplicate counts.

For custom websites or forms, enquiry reception APIs and dedicated newsletter subscription endpoints for partner sites are available. This integration route should be assessed with your website manager, separately from using the ready-made widget.

From enquiry to proposal, through to the booking engine

The quote request form collects an enquiry; it does not show real-time availability or complete a booking. The front desk checks options in the Composer, according to the connected booking engine’s capabilities, and prepares a relevant proposal.

With the booking engine connected, each rate in the offer has its own button to complete the booking. The journey can continue from the website to a conversation with the property and a stay booked through the direct channel.

The quality of the page and form helps initiate contact. A thoughtful, timely response then helps make the most of that opportunity.

Start with the pages you want to work better

The quote request form is part of the FastReplyMail base product. The newsletter form feeds mailing lists and requires the CRM component to be active.

In a demo, we can start with your website and a specific campaign: what information to collect, how to identify enquiry sources and how to follow up. The aim is to connect website work with front desk work, nurturing direct booking opportunities and lasting relationships.

BEFORE YOU START

Answers to practical questions.

Which forms can I embed on my hotel’s website?

FastReplyMail offers a quote request form and a newsletter subscription form. The first brings enquiries into the software’s Web Form channel; the second adds contacts to the chosen mailing list, with the CRM component active.

Can I use them on campaign landing pages too?

Yes. Embed the form code on your website or a landing page. For quote requests, assign a form ID and name so the enquiry retains its source reference and you can distinguish configured campaigns.

Does the form show prices and availability or complete a booking?

No. The quote request form collects enquiry details. Staff check options in the Composer, according to the connected booking engine, and prepare the offer. It is not a booking or website availability-checking widget.

Which languages and customisations are available?

Choose Italian, English, German or French, primary and accent colours, and a privacy notice link. For quote requests, configure limits for nights, accommodation units and occupants, and choose whether to show pets and promotional code fields.

How do I embed the form on the page?

In Utilities, configure options, check the preview and copy the generated script and stylesheet into the page. Your website manager verifies integration in the system used. Widgets are served by FastReplyMail.

Where do newsletter subscriptions go?

With the CRM active, the contact is created or updated and added to the list selected in the form configuration, with consent recorded. Preparing and sending the newsletter are subsequent steps in dedicated features.

Can I create guest groups for targeted communications?

Yes. Build CRM lists combining stated preferences and parameters, recorded spend at the property, average length of stay, booking count, purchased extras and language. Selection happens when building the list, based on available data and collected consent. The form starts or updates the contact; a new subscriber does not necessarily have a stay history.

Can I connect an existing custom form?

APIs are available to receive enquiries from custom websites and forms, alongside dedicated newsletter subscription endpoints for partner sites. This integration requires design and verification, separately from embedding ready-made widgets.
